
How to Document Storm Damage for an Insurance Claim

A storm claim can be weakened before the insurance adjuster ever arrives. Water may dry, debris may be removed, emergency repairs may cover the point of entry, and a damaged roof can look deceptively ordinary from the ground. Knowing how to document storm damage promptly gives your claim a factual record of what occurred, what was affected, and what must be repaired or replaced.
The goal is not to create dramatic photographs. The goal is to preserve evidence of direct physical damage, identify conditions that may not be visible later, and establish a clear timeline from the storm event through mitigation and repair. That discipline matters whether the loss involves a residence, apartment building, retail property, warehouse, office, or community facility.
Protect People and Prevent Further Damage First
Do not climb onto a roof, enter a flooded area, handle downed electrical equipment, or approach a structure that may have sustained structural failure. Documentation is valuable, but safety comes first. If there is an active leak, broken window, exposed opening, or other condition allowing additional damage, take reasonable emergency measures to protect the property.
Photograph the condition before installing a tarp, covering a broken opening, extracting water, or moving damaged contents when it is safe to do so. Then document the mitigation itself. Keep invoices, work authorizations, moisture readings, drying logs, tarp receipts, and photographs of the materials used. Most property policies require policyholders to mitigate further loss, but temporary work should not erase the evidence of the original damage.
If a contractor or emergency service provider is on site, ask that their records identify the observed cause of loss, affected areas, equipment used, and dates of service. A vague invoice stating "emergency work" does little to establish the scope of storm-related damage.
Build a Time-Stamped Storm Damage Record
Start with the date and approximate time of the storm. Save weather alerts, local reports, radar screenshots, hail notifications, wind reports, and any notices from a property manager or municipality. These records do not replace a physical inspection, but they help connect documented property damage to a known weather event.
Create a written log as soon as possible. Record when you first noticed damage, where it was found, whether water was actively entering the building, and what immediate actions were taken. If tenants, employees, neighbors, or visitors observed the event or its aftermath, write down their names and what they saw while details are still fresh.
For commercial properties, the timeline should also address operational impact. Note closed areas, damaged inventory, equipment shutdowns, safety restrictions, and temporary relocation of staff or tenants. Physical damage and business interruption are separate coverage issues, but the records often begin at the same moment.
Photograph the Property Systematically
Random close-up images are rarely enough. A useful photo record moves from broad context to specific damage. Begin outside the property with wide shots of every elevation, roofline visible from the ground, detached structures, fences, HVAC equipment, signs, drainage areas, vehicles, and trees. Include images that establish the property's overall condition and the location of each damaged component.
Then take medium-range photographs that show the damaged area in relation to the building. Finish with close-ups of the physical evidence. Capture multiple angles and use a ruler, tape measure, or other scale reference where appropriate. Do not rely on one photo to tell the full story.
For example, wind damage to roofing may involve lifted or missing shingles, displaced ridge materials, creased tabs, torn fasteners, damaged flashing, or exposed underlayment. Hail damage may appear as impact marks, fractured matting, displaced granules, dents to soft metals, damaged window screens, or impacts to rooftop equipment. Each condition should be photographed in a way that shows both the detail and its precise location.
Inside, photograph ceilings, walls, flooring, trim, insulation, contents, and any visible staining or deterioration. Take images before and after moving wet materials. If water has traveled from a roof or wall opening into a concealed cavity, surface staining may be only a small part of the actual loss.
Document What Cannot Be Seen Easily
Storm losses are frequently under-scoped because the first inspection focuses only on visible conditions. A stain on drywall may indicate wet insulation, damaged framing, microbial growth risk, or moisture extending beyond the apparent boundary. Likewise, a roof may show scattered impacts while the actual repair question turns on whether the material can be manipulated without causing additional damage.
This is where technical documentation becomes critical. Moisture meters can help identify elevated moisture in building materials. Infrared thermography can identify thermal anomalies that may support further moisture investigation, particularly when used with confirmatory moisture readings. These tools do not replace proper testing or destructive investigation when warranted, but they can reveal areas that a visual inspection misses.
Roof repairability should also be evaluated rather than assumed. Brittle, weathered, discontinued, or tightly bonded roofing materials may fracture when an attempted repair is performed. A repairability assessment should document the roof system, age and condition, affected locations, test procedures where appropriate, and the physical response of the material. The issue is not whether a limited repair would be less expensive. The issue is whether it can be completed without causing further damage or leaving the property with an improper result.
Preserve Damaged Materials and Contents
Do not discard damaged property until it has been documented and the carrier has had a reasonable opportunity to inspect it, unless removal is necessary for safety or mitigation. This includes broken shingles, damaged siding, fallen tree sections, torn screens, wet carpet, ruined insulation, damaged personal property, and failed equipment.
For contents, photograph each item individually when feasible. Record the make, model, serial number, age, purchase date if known, and a brief description of the damage. Grouping several items into one photograph can make it difficult to establish quantity, condition, and value later. For business property, match damaged inventory and equipment to accounting records, asset lists, purchase records, or point-of-sale data.
If materials must be removed, retain samples when practical and photograph them before disposal. Keep disposal receipts and records showing why removal was necessary. A damaged component that disappears without documentation can become a disputed component.
How to Document Storm Damage for the Carrier
Notify the insurer promptly and obtain a claim number. Keep a written record of each communication, including the date, time, representative's name, and a concise description of what was discussed. Confirm important discussions in writing when possible, especially requests for inspections, supplemental information, or extensions of time.
When submitting documentation, organize it by location and damage type rather than sending an unstructured collection of images. Label photographs with the building area, component, and date. A simple format such as "North elevation - wind-damaged siding - March 14" is more useful than a file name such as "IMG_4837."
Provide facts, not speculation. State that water entered at a particular location, that shingles were missing after the storm, or that moisture was documented in a ceiling cavity. Avoid characterizing a condition as covered or uncovered before the policy and facts have been reviewed. Coverage decisions depend on policy language, exclusions, deductibles, prior damage, maintenance history, and the actual cause of loss.
An insurer's first estimate is not necessarily a complete scope of repair. Review whether it addresses all affected building components, code-related work where applicable, detach and reset requirements, access, matching concerns, debris removal, concealed moisture, and the practical feasibility of proposed repairs. A low estimate often begins with an incomplete inspection, not a complete understanding of the loss.
Avoid Documentation Mistakes That Create Disputes
The most common mistake is waiting until the claim inspection to begin gathering evidence. By then, wind-blown debris may be gone, standing water may have been removed, and temporary repairs may conceal the original point of failure. Another mistake is documenting only obvious exterior damage while overlooking interior migration, damaged contents, or affected structural components.
Do not alter metadata, use filters, or edit images in ways that obscure the original condition. Keep original files and back them up in at least two locations. Do not sign a repair contract, release, or proof of loss without understanding its purpose and effect. Some documents establish repair obligations or claim positions that may be difficult to change later.
